Comprehensive Input Options

EX Station
VXP is fully “backwards compatible” with MedQuist’s popular VoiceWrite™ EX Station.  Customers who have invested in EX Stations will preserve that investment as they migrate to VXP.  The EX Station is the only 100 percent digital dictate station on the market.  Captured dictation is converted to digital signals at the station and stored on a computer hard drive.  This eliminates many of the problems common with analog systems, such as low-quality recordings caused by cross-talk or line interference.  It also allows extended distances for station installation and the digitization of demographic values.  This means more satisfied and task-oriented physicians, efficient document workflow and reduced cost to your facility.

Cquence® M3
Shirt-pocket sized and weighing in at only three ounces, the Cquence M3 unit delivers truly flexible and “carry-along” dictation capability.  The M3 is capable of holding almost 24 hours of dictation and can download entire cards within seconds.  The M3 gives you dictation capability anywhere you need it. Turning a telephone into a dictation station extends the reach of the system without additional equipment purchases.

Dictation over standard telephones
Originators can dictate from any touch-tone telephone in the world.  VXP offers complete dictate, edit and review functionality using the keypad commands found on standard telephones and cell phones. Advanced editing gives users the ability to insert or delete sections of the audio that reduce medical errors, promote accuracy and reduce post-transcription editing.

VoiceWrite Telephone
This entry-level dictation station gives the user originator-friendly functionality over either direct-wire or telephone connections, including handset-based document controls, hands-free foot pedal capabilities and time-saving customizable function keys.   Programmable function keys allow the customization of workflow activity not previously possible. Each key may be programmed to execute one or any number of cumulative functions, reducing the time required for transcriptionists to perform repetitive commands. Less time is spent managing jobs and more time transcribing.

VXP Dictate
Users can dictate directly into a standard PC via a SpeechMike®.  The information is digitally stored and quickly accessible for easy editing.  VXP Dictate is fully compatible with standard healthcare systems such as EMR, RIS and PACS.  Furthermore, users enjoy a wide range of management tracking, audit information and reporting capabilities.

Powerful Management Capabilities

User friendly
The management console’s point-and-click interface offers user-friendly functionality designed for simplicity and intuitive interaction without the need for Windows familiarity.  In addition, keyboard shortcuts maximize productivity and efficiency.

Distributed management console
VXP Manager may be distributed to as many client systems as desired with the purchase of appropriate licenses.  This allows those in remote locations to view and affect system activity and performance and eliminates the time wasted with centralized document management.

System notification
Actively notifies VXP Manager of important system messages with a pop-up dialog.

Document searches
Documents may be easily searched with any combination of demographic values. Customized searches may be saved and later accessed from a convenient drop-list menu. Saved searches may be scheduled to be run automatically and send results to either a file or printer.  Document searches are easy to use and dramatically increase user productivity.

Searchable archives
Archived documents may be searched and accessed with the same ease and power as active document searches.  This gives the user complete access to all jobs stored on the system.

Statistics at a glance
Vital document information is clearly displayed at the bottom of the system’s main window. Administrators can quickly display and/or edit vital originator and transcriptionist statistics.

On-the-fly document routing
By marking a document and navigating through menus, documents can immediately be queued to any available transcriptionist, leveling the workflow.

Group management
Groups of user profiles may be edited at one time, saving the system administrator’s valuable time.

Work pools
System filters restrict user access to specific jobs defined by criteria created by the administrator.  Work pools guarantee that transcriptionists access only these jobs that fall within their area of expertise.

Export
User profile or job status information may be exported to an ASCII file for subsequent analysis by third party applications such as Microsoft® Excel or Access.

Flexible Transcription Capabilities

Web–enabled transcription
Voice and data is delivered anywhere in the world via the Internet.  Transcription may be accomplished at work or at home without compromising VXP’s tracking, security or routing functionality.  Also, incorporating an ISP for delivery promises a low cost alternative to historically expensive long-distance phone bills.

Automated document recall
This feature resets and reroutes voice files that have exceeded their turnaround time from the transcriptionist that originally requested it to another who is available to transcribe it.  It functions on both on-site and remote systems.

Customizable display
A customizable display of document information duplicates and exceeds those of the traditional transcribe station. Very user-friendly for transcriptionists, it creates a more efficient overall workflow.

Microsoft Word integration
Microsoft Word templates facilitate transcription because document data can be auto-populated with a single click.  Primary functionality may be accessed through an integrated Microsoft Word toolbar.

Normals
Normals may be recorded and stored on the system and then quickly accessed and inserted into the current job with a keystroke or barcode scan.

Manual job request
The transcriptionist can specify how many and what type of documents are to be downloaded for transcription.  The responsiveness of transcriptionists is enhanced when handling unusual situations and it increases the flexibility of the system’s overall workflow.

Automatic job request
Depending upon the user’s profile and work pool settings, the application may be set to automatically download and maintain a configurable number of documents to the local station.  Efficiency is maximized because the transcriptionist spends less time initiating document searches and setting up work lists.

Open next job automatically
A transcriptionist's efficiency is enhanced because it eliminates the need to manually open the next job. VXP automatically opens the next available untranscribed or open job that is present in the document list when the current document is marked open or complete.

Station-based transcription
Telephony-based stations use standard phone lines to communicate vital information to transcriptionists.  Both the VXP Transcribe Station and the VoiceWrite Telephone may be configured for either a direct-wire or phone connection.  Both can be used in local and remote capacities. Because both stations interface between analog phone lines and the VXP Server, client facilities expand the reach of their systems.

HIPAA / PIPEDA - Enabling Security

Secure data transaction
Voice files and transcribed documents are transmitted via TCP/IP rather than simple e-mail attachments as many other systems require.  VXP’s method of delivery breaks data into a multitude of packets and sends them across multiple Internet routes, rendering the interception of your data virtually impossible.

Audit trail
Over 20 status codes and other historical information contained in a searchable database give users the ability to track the stages of a document’s lifecycle.

Encryption
Fully compatible with many encryption and VPN solutions that may be implemented for additional security. Other VXP solutions can fully employ Windows- and Internet-based security options and features.

Multi-level security settings
Administrators can set up to 10 different, customizable sets of access rights for users. The level of security determines access to sensitive features and functions.

Hacker alerts
Unauthorized access attempts are sent to the administrator when a user has unsuccessfully tried to login to the VXP system three times.

Automatic disabling feature
A user’s ability to login is disabled once three unsuccessful attempts have been made.

Password protection
Access to VXP Manager, Player, VXP Internet Server and telephony services are denied if login is not accompanied by successful password authentications.

Password configuration
Administrators have the ability to define the required field length for all user passwords and force the users to change their passwords after a user-configurable period of time.

Invalid user disconnect
The login session is automatically ended if the user enters an invalid user ID.

Industry-Leading Technology

Open architecture
VXP can often be installed on a client’s existing hardware.  Users benefit from a more immediate, simplified implementation and substantial cost savings because expenditures on new equipment are minimized.

Fault tolerance
Consisting of two to three servers, each is capable of operating as standalones but are configured to function as a single integrated system.  In the event of a major server malfunction, each remaining server retains all copies of voice, data and applications while continuing to operate unaffected with the remaining resources.  A higher level of security, reliability and efficiency is achieved.

Macro scripting language
A customized and extremely powerful macro scripting language offers VXP the most flexibility of any dictation solution on the market today.  This customizable resource adapts to unusual workflow requirements, end-user functionality, system emulation and uploading/offloading.

Exports ASCII or HL-7
VXP exports document information (ASCII or HL-7) to interface with transcription, chart deficiency, radiology or other systems.  Information is inserted automatically into a disparate system, enhancing overall system efficiency and accuracy.

Automated system cleanup
A client’s system automatically cleaned up according to customized settings on a recurrent, specified time, ensuring more efficient system performance.

Automated backups
VXP’s archive settings can be configured to automatically copy voice files and user profile information to a networked drive, tape or CD writer.  Data loss is prevented and time is saved by automating the backup process. Recovery is also facilitated in the event of equipment failure.

Autopurge
VXP automatically purges the oldest voice files that have been marked as transcribed or offloaded and writes all management information to an archive file. This guarantees that your system will be able to accept/store incoming dictation and require less administrative intervention.

Voice mail
Similar to traditional office voice mail systems, VXP allows users to send or receive voice notes to any other accessible user, facilitating efficient communication among VXP users.
