VoiceWrite EX Station

Customers needs vary. That’s why MedQuist engineered the VoiceWrite EX system with the flexibility to meet specifications for small-scale as well as large-scale enterprise facilities. With the only 100 percent digital dictation station on the market, captured dictation is converted to digital signals at the station. Voice is transmitted and stored digitally on a hard drive, eliminating many of the problems associated with analog systems such as low-quality recordings caused by cross-talk or line interference. Programmable function keys can customize workflow activity and perform repetitive commands, decreasing job management. Digital technology eliminates cassettes and extends distances for station installation.

The EX Station can benefit your organization with functions and features such as:

Simultaneous voice and data
Job data, such as length of dictation and current position, is displayed for the physician during dictation and to the MT during transcription. The data is displayed simultaneously as the voice file is recorded or played so both dictator and transcriptionist can identify the job and position within the job at all times.

One-touch programmable keys
Frequently-used commands may be programmed into 20 one-touch keys. By incorporating feature access at the touch of a button, the need to memorize complex commands is eliminated.

Built-in ROM storage
All pre-programmed information is retained on an onboard ROM chip. In the event of power loss or station relocation, the information is retained indefinitely, eliminating the need to re-program stations.

True digital clarity
EX Station delivers clear, robust digital sound quality with no interference or cross-talk. By digitally encoding voice at the station, there is no chance for sound degradation.

Voice prompts recorded at dictate station
System voice prompts that guide users through the system may be easily recorded or changed at any dictate station.

Handset controls
The EX Station offers a choice of ergonomically engineered input devices. Physicians can concentrate on dictating because cumbersome key commands are replaced with intuitive, easy-to-use-controls.

Input flexibility
Whether users prefer a handset, hand microphone, data microphone or hands-free dictation, they can choose the input device that best suite their dictating style. As input needs change, stations can be easily customized without hardware, software or wiring changes. This flexibility allows the EX Station to be used in diverse environments with the only difference from one station to the next is the individual user’s choice of inexpensive input device.

Multiplex-capable
Standard analog phone lines deliver clear digital communication to the recorder, expanding the reach of the VoiceWriter system. Physicians can dictate remotely while transcriptionists transcribe from home. All of the features and speed associated with a direct-wire station are available from any location, at any time.

Job information displayed on a 32-character LCD display
Through an optional large LCD display, all job record information is displayed for physicians and transcriptionists.

Barcode
Medical documentation often involves the use of long patient identifiers that are barcoded for swift and accurate entry. By employing a barcode scanner at the point of dictation, chart information is accurately and easily imbedded into the record information of dictated jobs. Job look-ups are simple and fast.  

Low-light dictation and transcription
Physicians often dictate in dimly lighted areas. An adjustable backlight displays associated job demographic information. Dictators can visually identify information, regardless of low-lighting constraints, making EX Station suitable for any environment without sacrificing productivity.

Serial rs232 port output
RIS, PACS or orders-driven dictations are not a challenge for the EX Station. Through sophisticated integration, accession numbers, exam numbers and other order information are passed from the diagnostic system directly to the station, eliminating the need for the physician to key or barcode any information. Redundancies and inaccuracies often associated with input of the same information on separate systems is eliminated.

Migration strategy
MedQuist protects the capital equipment investments of its clients by engineering new products and enhancements that are compatible with the EX Station. This presents an easy and economical upgrade path for current and future clients.

VoiceWriter Recorder

To meet the unique needs of each client, the VoiceWriter system can be configured to meet the specifications that provide ample dictation ports and voice storage for the largest facilities. Key benefits of the VoiceWriter Recorder are:

Accurate data entry
Programmable keys and barcode readers at the dictate stations not only allow the originators to enter in data quickly, they reduce erroneous data entry. Transcriptionists spend less time editing and searching for jobs.

No media handling
Digital technology eliminates cassettes. Handling and managing cassettes can be time-consuming. It is estimated that it takes from 3.5 to 5 minutes for initial rewinding, rewinding after transcription, erasing and organizing or storing each tape. VoiceWriter eliminates this media handling, saving users both time and money.

Random access
An inconvenience of cassette-based systems is the time it takes to search for a specific job. Instantly access any job, at any time, in any order, regardless of when it was dictated. The user simply inputs the job selection criteria on the management computer or transcribe station and the job is instantly displayed.

Automatic work routing
Digital work routing automatically routes work to the appropriate transcriptionists, determined by database criteria (work type, user ID or priority field, for example). Work is completed based in the order of importance that is determined by the client.

Decentralization
Using a single recorder, work can be routed automatically. Multiple Departments and users can access their reports through passwords and record image fields, yet retain the flexibility to re-route work in virtually any manner when necessary.
